Enhancing cloud strategy with AI and Data Management

As a consultant working with Microsoft 365, I’ve seen just how much AI is changing the way businesses operate. However, as we embrace AI tools in the cloud, it’s imperative to address the critical issue of data security. Without a robust data management practice, organizations expose themselves to significant risks, including among other things, data breaches, compliance violations, and financial penalties. Proper data management not only enhances AI capabilities but also safeguards that sensitive information stays safe and ensures that businesses can leverage technology without compromising security.

The relationship between Copilot and data management

Integrating AI into your cloud strategy successfully comes down to one key thing – data management. As more and more data moves to the cloud, having well maintained, secure, and accessible data becomes super important. If you don’t have a working data management framework, you might run into security issues, compliance problems, and inefficiencies.

AI, including tools like Microsoft 365 Copilot, relies on access to large data sets to provide insights, automate tasks, identify patterns, and create content. As organizations move more data to the cloud, AI capabilities expand significantly. Copilot for instance, utilizes vast amounts of data to help users pinpoint key points, summarize content, and make data-driven decisions.

Strong data management is foundational for secure and effective AI usage.

Microsoft Purview’s role

Microsoft Purview is essential in maintaining effective data management and security. It provides tools for data discovery, classification, and compliance, ensuring sensitive information is protected and managed according to regulations.

I’ve compiled a few key  features you should implement to ensure that your AI operates effectively and securely:

  • Data Discovery and Classification: Purview scans and categorises data within your Microsoft 365 environment, identifying and labelling sensitive information like personal details or financial records for enhanced security. This helps prevent unintentional sharing or exposure of sensitive data.
  • Risk Management and Compliance: Staying compliant with data privacy regulations such as GDPR is crucial. Purview provides integrated tools that assist organizations in evaluating compliance risks, managing data policies, and adhering to privacy regulations. It can automatically identify risky data activities and notify administrators so they can intervene before issues get worse.
  • Data Lifecycle Management: Purview enables comprehensive data lifecycle management, from creation to disposal. It can establish retention and deletion policies, ensuring that data is only kept as long as it is needed. This feature lowers storage costs and reduces data breach risks by securely deleting outdated data. It also eliminates the risk where AI is using obsolete data to generate new content.

Why?

By implementing a comprehensive data management system, businesses can use AI within Microsoft 365 in a secure, effective, and responsible manner. Tools like Microsoft Purview help manage compliance, protect sensitive information, and harness AI’s full potential, enabling teams to gain efficient, data-driven insights.
