Microsoft is introducing a new option that allows meeting organizers to automatically start transcription without automatically recording the meeting. While this may sound like a small change, it addresses a challenge that many organizations have been struggling with for some time.
When scheduling a meeting, organizers will now have three distinct options. They can choose not to automatically start anything, automatically start both recording and transcription, or automatically start transcription only.
The new transcription-only option means a meeting transcript can be created without generating a recording file. Participants still benefit from accessibility features, searchable meeting content, Copilot experiences, and Intelligent Recap capabilities, while organizations avoid storing video and audio recordings that may not be necessary.
I expect this will be particularly welcomed by organizations that have spent considerable time navigating compliance requirements around meeting recordings. In many cases, the transcript itself provides the business value people are looking for. The recording is often retained simply because it was technically required to achieve that outcome.
With this change, Microsoft is effectively separating those two decisions.
It is worth noting that this does not introduce a new transcription capability. Manual transcription without recording has been available for quite some time. What is changing is the ability to automatically start transcription when a meeting begins, without automatically creating a recording at the same time.
The feature also respects existing Teams policies. Organizations must already allow transcription for the option to be available. If both recording and transcription are blocked through meeting policies, users will not see the new setting.
Looking at the bigger picture, this is another example of Microsoft giving organizations more granular control over how AI and meeting intelligence capabilities operate. As features such as Copilot and Intelligent Recap become increasingly dependent on meeting content, the ability to decide exactly what is captured, stored, and processed becomes more important.
For many organizations, the real value of a meeting is not the recording itself. It is the knowledge, decisions, and actions that emerge from the discussion. This update helps organizations capture that value while providing greater flexibility around compliance and data management requirements.
